Cancellation and Reschedule Policy

A cancellation and reschedule policy is set up by a provider providing a professional service to a client. This covers no-shows, late cancellations, and last minute-reschedules. Cancellation and rescheduling policies usually mean a 48-hour window outside of which cancellations and rescheduling are not charged. Any reschedule, cancellation or no-show within the 48-hour window is charged at the total session fee rate.

At Changes in Between, we offer a 48-hour cancellation/rescheduling window. This cancellation policy exists to safeguard both you and the clinician’s time. As your clinician provides a professional service, their availability is also in high demand. Within 48 hours, it is generally impossible to adequately utilise that clinical time when the unexpected cancellation is a lost time that could have been used to serve another client. By setting boundaries for our work together, the policy aims to make the therapeutic space a reliable and safe container to learn more about yourself and be clear about expectations.

The cancellation and reschedule policy in therapy is a structure that models compassionate boundaries and provides clear expectations, design, and consistency.

Appointment cancellations

The goal is to provide quality health care to all clients promptly. No-shows, late arrivals, and cancellations inconvenience not only providers but other clients as well. Please be aware of the policy regarding missed appointments.

If cancellations are necessary, call at least 48 hours in advance. Appointments are in high demand, and your advance notice will allow another client access to that appointment time.

If you need to cancel your appointment, please email info@changesinbetween.com or leave a message at 0411241005. If necessary, you may leave a detailed voicemail message. Your call will be returned as soon as possible to reschedule your appointment.

Late Cancellation/No-Shows

A cancellation is considered late when the appointment is cancelled less than 48 hours before the appointed time. A no-show is when a client misses an appointment without cancelling. In either case, a client will forfeit their fee.

For new clients’ first appointments, a no-show or late cancellation fee will result in a full charge of the new client fee.

No-Show at Home Visit or Walk & Talk

If your therapist is arriving at your home for a home visit or travelling to a walk-and-talk appointment and you are not home and do not arrive, you will also be charged for travel time. Your therapist will attempt to call you and wait in their car for 15 minutes, after which the appointment will be deemed a show, and the total fee plus any travel incurred will be charged.

Lateness to the appointment: If you are running late to a session, you must notify the therapist as soon as possible by sending a message. Your therapist will wait for you for 15 minutes after your scheduled session starts time before charging you for the session and marking it as a no-show or late cancellation.

Communication about scheduling

If you need to change upcoming appointments, please discuss this in session or via text or email. You will not be charged for the work when you provide more than 48 hours’ notice for cancelling or rescheduling your session start time. If your information is given by sending a message, the time stamp will let us know it was sent 48 hours in advance.

Appointment reminders

Your next appointment will be confirmed at the end of each session. Additionally, a text reminder will be sent 72 hours before your next meeting to enable ample time to cancel or reschedule without the cancellation or reschedule fee. Further, we have set up a text reminder 24 hours before. You can opt out of these reminders if you would prefer.

What about when your therapist cancels?

At some point, your therapist may cancel or reschedule your appointment. You will not be charged. If your therapist must cancel or reschedule with you, an alternative session will be offered.
